How to Prevent Billing Fraud in Your Restaurant With Staff Permissions

· 5 min read

Most billing losses are small and repeated: a void after the guest has paid, a discount given without approval, an order served and never billed. You do not need to distrust your team to fix them. You need a system where sensitive actions need the right person and leave a record.

Where money usually leaks

Look at these first, because they account for most losses.

  • Voids and cancellations after payment
  • Discounts and coupons applied without a reason
  • Bills edited after printing
  • Cash received but not recorded
  • Items served that were never entered or never sent as a KOT

Give each person a role and only the permissions they need

A cashier needs to bill and take payment. A waiter needs to take orders. Only a manager or owner should approve large discounts, refunds and voids. Role-based logins let you set this per person, so nobody shares a single login.

  • Owner and manager: full control, reports and approvals
  • Cashier: billing and payments
  • Waiter: orders and tables
  • Kitchen: tickets only, with no prices visible
  • Accountant: reports without billing access

Require a reason, and keep a log

When a discount, refund or void needs a reason and the system records who did it and when, behaviour changes. An activity log of sign-ins, payments and changes makes questions easy to answer later.

Reconcile every day

Compare the day's sales report with cash counted and with UPI and card settlements, split by payment method. A gap is a signal to look at that shift's voids and discounts, not an accusation.

Make the kitchen part of the control

If every order sends a KOT and stock deducts from recipes, an item served without a bill shows up as stock that left without a sale. That single link catches the hardest leak to see.
